For daycare owners & nannies
OMA Owner Guide
A simple walkthrough for setting up your care business and using the features. You do not need to be technical. If you can send a text message and tap buttons on your phone, you can set this up. Looking for the parent walkthrough? Read the parent guide.
What is OMA?
OMA is the app you use to run your care business:
- Keep track of families and children
- Message parents
- Share daily updates (meals, naps, activities)
- Check children in and out (daycares)
- File incident reports (daycares)
- Collect payments
- Share licenses and documents
- Watch classroom cameras live (Premium daycares)
Parents use the same app on their phones. When you invite them, they get their own parent view.
Two kinds of businesses
When you create your account, you choose one:

Tip: Most of this guide has a Daycare section and a Nanny section. Follow the one that matches your choice.
Before you start
- Download the OMA app on your phone.
- Have your business name ready.
- Have an email address you check regularly (invites and account recovery use this).
- Optional but helpful: your business address, phone number, and the emails of parents you’ll invite.
Part 1 — Create your account
- Open the app and tap Register (or create account).
- Enter your name, email, and a password you’ll remember.
- Enter your business name.
- Choose Center or Babysitter / Nanny.
- Finish creating the account.
Next you’ll see a short business setup screen. Fill in what you can:
- Address, phone, email
- Time zone (important so times look right for parents)
Daycares can also set:
- How parents should acknowledge incident reports (simple checkmark, or signature for serious / all incidents)
- Camera gateway details later, if you use live cameras (Premium)
You can skip optional fields and come back anytime:
- Daycare: Manage → Business profile
- Nanny: Settings → Business profile
Part 2 — Set up a daycare (Center)
Your Home screen has a Setup checklist. Tap each row to jump straight to that step. Work through them in order.
Step 1 — Add a classroom
Classrooms are the rooms or groups where children spend the day (for example “Infants” or “Toddlers”).
- Tap Classrooms at the bottom, or follow the checklist item Add a classroom.
- Tap the button to add a classroom.
- Give it a name. Add capacity and age range if you know them.
- Save.
Add every room you need before moving on.
Step 2 — Invite your team
- Go to Manage → Team.
- Invite each staff member by email.
- Choose their role (Admin or Staff) and position if asked.
- Assign them to the right classrooms.
They’ll get an email. When they accept, they can use OMA for your daycare.
If you’re the only person working right now: you can still assign yourself to classrooms so the checklist can move forward. Invite helpers later.
Step 3 — Add families and children
- Go to Manage → Families and children (or follow the checklist).
- You can either:
- Invite by email — parent gets an email, creates their account, and finishes their family profile, or
- Create the family yourself — add the parent contact and child now, and optionally send an invite when you save.
- For each child, add what you know:
- Name and date of birth
- Allergies, special needs, notes
- Photo (optional)
- Add authorized pickups — the people allowed to pick the child up.
- Mark who should receive messages and updates.
Tip: On a family’s page you can resend an invite if a parent hasn’t joined yet.
Step 4 — Enroll children in classrooms
- Open a classroom.
- Enroll the children who belong in that room.
Until a child is enrolled, attendance and some classroom tools won’t line up the way you expect.
Step 5 — Upload licenses and documents (optional, but recommended)
- Go to Manage → Licenses and documents.
- Upload handbooks, policies, licenses, or forms families need.
- Share them with families from there when you’re ready.
Step 6 — Turn on the alerts you want
- Go to Manage → Notifications.
- Allow notifications if your phone asks.
- Choose what you want alerts for (messages, incidents, billing, camera security, invitations, and so on).
Step 7 — Choose your OMA plan
- Go to Manage → OMA plan.
- Pick the plan that fits you:

You can start on Free and upgrade later.
Step 8 — Set up how families pay you
- Go to Manage → Payments and tuition.
- On any plan, add links families already use (Venmo, Cash App, PayPal, or a custom link) and send payment requests.
- On Plus or Premium, you can also:
- Connect Stripe so families can pay by card
- Set tuition rates
- Create statements and offer autopay
Follow the on-screen steps for Stripe — OMA walks you through connecting your bank/account.
Step 9 — Cameras (Premium only)
- Make sure you’re on the Premium plan.
- In Business profile, enter your camera gateway information if your camera setup requires it.
- Open the Cameras tab to view live streams.
Privacy note: If a parent tries to screenshot or record a livestream, OMA can log that attempt. Review those under Manage → Screenshot attempts.
Part 3 — Set up as a nanny / babysitter
Your home base is the Families tab.
Step 1 — Finish your business profile
Settings → Business profile. Add your contact details and time zone.
Step 2 — Add or invite families
- Open Families.
- Tap Invite by email, or create a family yourself with a contact and child.
- Add allergies, notes, and pickup people as needed.
- Resend invites from the family page if someone hasn’t joined.
Step 3 — Documents, notifications, and plan
From Settings:
- Licenses and documents — upload anything families should see.
- Notifications — choose your alerts.
- OMA plan — Free or Plus (nannies do not need Premium cameras).
- Payments and tuition — add payment links; upgrade to Plus for card billing and statements.
Nannies do not use classrooms, team invites, check-in/out, or live cameras. That’s normal — those tools are for daycares.
Part 4 — Everyday use (daycare)
See who’s here
On Home, the Here now section shows children who are checked in.
Check a child in or out
- Open the child’s classroom, or open the child’s profile.
- Tap check-in when they arrive.
- When they leave, check them out and choose the authorized pickup person.
Post a daily update
Share meals, naps, potty, or activities with parents.
For one child:
- Open the child or family.
- Tap Add update.
- Choose the type, add details, attach a photo/video if you want, and send.
For a whole classroom:
- Go to Manage → Activity updates.
- Post a batch update for the room.
Parents can get a notification when you post (if they have alerts on).
Message parents
- Tap Messages.
- Start a conversation:
- About a child — tied to that child’s care
- Direct — when available
- Announcement — send to a classroom at once
File an incident report
- Open the child (they need to be in a classroom).
- Start a new incident, or go to Manage → Incident reports.
- Fill in what happened, severity, actions taken, and any follow-up.
- Save. Parents may need to acknowledge it (checkmark or signature), based on your business settings.
- You can print or share a PDF, amend details later, or void a report if it was created by mistake.
Watch cameras
Open the Cameras tab (Premium). Tap a camera to view full screen.
Part 5 — Everyday use (nanny)
Families tab
Open a family to:
- See contacts and children
- Call, text, or email a parent quickly
- Post a child update (meals, naps, activities, photos)
- Manage invites and pickup people
Messages
Same inbox idea as daycares — talk with families. Announcements by classroom are a daycare feature, so you won’t see that option.
Settings
Your control panel for profile, plan, payments, documents, and notifications.

Part 7 — Inviting parents (both)
Parents need an invite before they can see their child’s care in OMA.
- Add the family (or use Invite by email).
- Make sure the parent’s email is correct.
- They open the email on their phone and follow the link.
- They create an account (or sign in) with that same email.
- They finish any family profile steps.
If they say they never got it:
- Ask them to check spam / junk
- Open the family in OMA and resend the invite
- Confirm the email spelling
Part 8 — Tips that save headaches
- Use the real emails parents check. Invites and login depend on it.
- Add authorized pickups early. Checkout goes smoother at pickup time.
- Write allergies and special needs on the child profile. Your team (and you) will see them when it matters.
- Start simple. Families + messages + updates are enough for day one. Add billing and cameras when you’re ready.
- Allow notifications on the phone you’ll carry during the day.
- Upgrade only when you need to. Free is fine to learn the app; Plus adds tuition tools; Premium adds cameras for daycares.
- One business type per signup choice. Centers get rooms and staff tools; nannies get a simpler family-first layout. If you chose the wrong type when registering, contact support before you invest a lot of setup time.
Part 9 — Quick “first week” checklist
Daycare
- Create account and finish business profile
- Add classrooms
- Invite / assign staff
- Invite or add families and children
- Enroll children in classrooms
- Add authorized pickups
- Try one check-in and one activity update
- Send one test message to a parent who’s already joined
- Upload handbook or license (optional)
- Set payment links or connect Stripe
